1. Introduction

WildfireX Inc. ("WildfireX," "Company," "we," "our," or "us") respects your privacy and is committed to protecting the personal information entrusted to us.

This Privacy Policy describes how we collect, use, disclose, store, safeguard, and delete information in connection with our website at https://www.wildfirexdefense.com, the WildfireX mobile application available for iOS and Android, including MAX AI, our connected wildfire-defense technology, and related products and services (collectively, the "Services").

WildfireX provides wildfire awareness tools, location-based alerts, property-specific risk information, AI-assisted guidance, and, for eligible customers with compatible installed equipment, remote monitoring and control of exterior wildfire-defense systems.

Certain wildfire awareness features may be available without purchasing a WildfireX system. Other features require compatible equipment, an authorized account, or a separate service agreement.

By using our Services, you acknowledge the information practices described in this Privacy Policy. Where consent is legally required, we request it separately.

2. Information We Collect

Depending on the Services you use, we may collect and process the following categories of information:

A. Personal and Account Information

• Name, email address, telephone number, and contact preferences.

• Account identifiers, authentication information, and related account settings.

• Communications, inquiries, support requests, and information voluntarily submitted through our website or application.

B. Property and Location Information

• Property addresses, geographic coordinates, and selected protection locations.

• Wildfire alert zones, location preferences, and related risk-assessment information.

• Information about property characteristics, water sources, and connected wildfire-defense equipment.

• Device location information when location-based features are enabled and the necessary permission has been granted. Property addresses and geographic information may be used to provide location-specific wildfire intelligence even when device location permissions are disabled.

C. Wildfire Alerts and Application Activity

• Selected notification preferences and protection zones.

• Relevant notification delivery, acknowledgement, and response information.

• Interactions with wildfire maps, incident reports, evacuation information, and risk-assessment features.

• Application activity needed to provide, support, and improve the Services.

D. Connected Equipment and System Information For customers with compatible WildfireX equipment, we may process:

• Equipment identifiers, configurations, and connectivity status.

• System activation and deactivation commands.

• Sprinkler zone, pump, valve, and other applicable equipment status.

• System events, operational timestamps, diagnostic information, and available sensor readings.

• Technical information necessary to configure, troubleshoot, and support connected equipment.

E. Camera and Visual Information

Where optional property-camera features are enabled, the Services may display or transmit video feeds, images, or associated camera data. The availability of video recording, storage, remote access, or monitoring depends on the specific equipment, software configuration, and services selected. Access to camera information is intended to be limited to authorized users and personnel with a legitimate service-related need, subject to applicable permissions and agreements.

F. MAX AI Interactions

When using MAX AI, we may process questions, messages, relevant property information, wildfire incident context, system status, and other information supplied or authorized for the interaction. Where external AI processing providers are used, relevant information may be transmitted to those providers to generate responses, subject to applicable privacy safeguards and consent requirements. Users should avoid entering unnecessary sensitive personal information into AI conversations.

G. Technical, Website, and Device Information

We may collect IP addresses, device identifiers, operating-system information, push-notification tokens, browser information, application version, diagnostic logs, and other technical data necessary for security, functionality, troubleshooting, and service improvement.

Our website may also use cookies or similar technologies for functionality, analytics, and, where enabled, marketing measurement.

H. Customer and Transaction Information

When you request a proposal, purchase equipment, or obtain services, we may process relevant quotation, invoicing, transaction, billing, installation, and customer-service records.

Payment information may also be processed by authorized payment-service providers, depending on the payment method used.

3. How We Use Information

We process information for the following purposes:

1. Creating, authenticating, and managing user accounts.
2. Providing wildfire incident maps, risk information, alerts, and property-specific notifications.
3. Supporting MAX AI and related informational features.
4. Enabling authorized remote operation and status monitoring of compatible WildfireX equipment.
5. Supporting camera and connected-property features selected by customers.
6. Delivering customer support, technical assistance, troubleshooting, and software updates.
7. Responding to requests for consultations, estimates, installations, and other services.
8. Maintaining security, preventing unauthorized access, and investigating potential misuse.
9. Improving application performance, reliability, and user experience.
10. Complying with legal obligations, enforcing agreements, and protecting legitimate business interests.
11. Sending service communications and, where permitted, relevant marketing communications.

Users may opt out of promotional emails through applicable unsubscribe mechanisms or by contacting us. Where applicable law requires a legal basis for processing, we rely on one or more of the following: performance of a contract, legitimate interests, compliance with legal obligations, or consent.

4. Wildfire Alerts, Evacuation Information, and Critical Notifications

WildfireX may use information obtained from public agencies, government sources, and third-party information providers to display wildfire incidents, estimated proximity, risk indicators, evacuation information, and related notifications.

Sources may include CAL FIRE, NASA FIRMS, FEMA, public evacuation-information providers, weather services, and other relevant data providers. We may use a saved property address or authorized location information to determine which incidents and alerts may be relevant to a user.

For certain critical notifications, the Services may record acknowledgement or response status. Where the applicable feature is enabled, a lack of response to a critical alert may result in a supplemental notification to authorized WildfireX support personnel.

This feature does not establish continuous emergency monitoring, guaranteed personal outreach, or emergency dispatch. WildfireX does not replace 911, government emergency-alert systems, or official evacuation orders.

Users should always follow instructions from emergency authorities and evacuate immediately when directed.

5. Artificial Intelligence and Automated Information

MAX AI is designed to assist users in understanding wildfire-related information, interpreting available data, and considering general preparedness or equipment-related actions. MAX AI may use external AI technologies to process information and generate responses. AI-generated information may be incomplete, inaccurate, delayed, or unsuitable for a particular circumstance. WildfireX does not represent that MAX AI can independently determine whether an evacuation is safe, guarantee the accuracy of wildfire predictions, or replace licensed emergency professionals. Where required by applicable law or platform rules, we will provide appropriate disclosures and obtain permission before sharing personal information with third-party AI providers.

6. Information Sharing and Service Providers

We may disclose relevant personal information to the following categories of recipients when necessary for the services:

1. Technology and hosting providers: Providers supporting website hosting, cloud infrastructure, authentication, databases, notifications, and application operations, including services such as Wix, Google Firebase, and applicable Apple or Google platform services.
2. AI and information-processing providers: Providers used to support MAX AI or other authorized intelligent features.
3. Mapping, weather, and wildfire-information providers: Providers supporting location-based functionality and relevant information feeds.
4. Installation and technical-service partners: Authorized contractors, technicians, engineers, and support personnel when necessary to provide requested services.
5. Payment and administrative providers: Providers processing applicable customer transactions, billing, and business operations.
6. Legal or regulatory recipients: Authorities or other parties where disclosure is legally required or reasonably necessary to protect legal rights or safety.
7. Business successors: Parties involved in a lawful merger, acquisition, restructuring, or transfer of business assets, subject to applicable protections.

We seek to limit disclosures to information reasonably necessary for authorized purposes and require applicable service providers to maintain appropriate confidentiality and data-protection safeguards.

WildfireX does not sell customers' personal information to data brokers for monetary consideration.

Website analytics or advertising technologies, if enabled, may involve disclosures that qualify as "sharing" or targeted advertising under certain privacy laws. Where applicable, users may exercise legally available opt-out rights by contacting us or through provided privacy controls.

7. Cookies and Website Technologies

Our website may use essential cookies to operate its functionality and additional cookies or similar technologies for analytics, performance measurement, and advertising where configured.

Users may control certain cookies through browser settings and any consent or privacy-management tools made available on our website. Disabling some technologies may affect website functionality.

8. Data Security

WildfireX uses reasonable administrative, technical, and organizational safeguards intended to protect personal information against unauthorized access, alteration, disclosure, and loss.

These safeguards may include authenticated access controls, secure transmission mechanisms, restricted permissions, and operational security practices. No electronic system, internet connection, or data-storage method can be guaranteed completely secure.

Users are responsible for maintaining the confidentiality of their account credentials and promptly reporting suspected unauthorized access.

9. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, unless a longer period is required or permitted by law.

Retention depends on the nature of the information:

  • Account and property information: Generally maintained while the associated account or service relationship remains active, subject to applicable deletion rights.

  • Equipment and service records: Retained as reasonably necessary to support system operation, maintenance, warranties, security, and contractual obligations.

  • Support, proposal, and transaction records: Retained as needed for business operations, accounting, dispute resolution, and legal compliance.

  • Technical and diagnostic information: Retained for periods reasonably necessary for troubleshooting, security, and service reliability.

  • AI interaction data and camera-related data: Retained, if applicable, according to the relevant feature's configuration, operational needs, and applicable deletion requirements.

Where deletion is requested, associated information will be deleted or de-identified as required, except where lawful retention is necessary.

Residual copies may remain temporarily in secured backups until removed through applicable backup-retention processes.

10. Account Deletion and Privacy Requests

Users may request access to, correction of, or deletion of their personal information, subject to applicable law.

To request deletion of a WildfireX application account and associated personal information, email info@wildfirexdefense.com with the subject line "Account Deletion Request."

We may take reasonable steps to verify account ownership before completing a request. Account deletion generally removes account access and personal data associated with that account, subject to legally permitted retention.

Deleting an application account may disable access to connected equipment controls and does not automatically terminate separate equipment-purchase agreements, installation contracts, or paid service obligations.

Additional information is available on our Account Deletion page.

11. Your Privacy Rights

Depending on your location and applicable law, you may have the right to:

  • Request access to personal information maintained about you.

  • Request correction of inaccurate personal information.

  • Request deletion of eligible personal information.

  • Request information about applicable data processing and disclosures.

  • Withdraw consent where processing depends on consent.

  • Object to or restrict certain processing activities.

  • Request data portability where provided by law.

  • Opt out of qualifying sales, sharing, or targeted advertising.

  • Exercise privacy rights without unlawful discrimination.

California residents may have additional rights under the California Consumer Privacy Act, as amended, to the extent that law applies to WildfireX's activities.

To submit a privacy request, contact info@wildfirexdefense.com. We will respond according to applicable legal requirements and may request reasonable verification where permitted.

12. Device Permissions and Your Choices

Depending on the features used, the mobile application may request permission to send notifications or access device location. Users may manage applicable permissions through their iOS or Android settings.

Disabling location permission may limit location-based features that depend on the device's position, although supported property-address-based functionality may remain available.

Disabling notifications may prevent the delivery of certain wildfire warnings, system-status notices, and other alerts.

You may also manage marketing preferences and request assistance with applicable account or data controls.

13. Children's Privacy

WildfireX Services are not designed for children under 13 years of age. We do not knowingly solicit personal information directly from children under 13.

Accounts used to manage connected wildfire-defense equipment should be established and controlled by adults or individuals legally authorized to manage the property.

If we learn that personal information has been collected from a child in violation of applicable law, we will take appropriate steps to delete it.

14. International Processing

WildfireX operates from the United States. Information may be processed in the United States or other locations where our authorized technology providers operate.

Where applicable, international data transfers will be handled in accordance with relevant legal requirements.

15. External Information and Third-Party Services

The Services may link to external resources, government agencies, mapping tools, or third-party websites. External services operate under their own terms and privacy policies.

WildfireX is not responsible for independent third-party privacy practices, except to the extent required by applicable law.
